Chapter Committee Descriptions

 

Community Outreach Committee - 1 year term

  • Work with Education Committee Chairperson to develop opportunities to provide payroll related education to the general public. (An example would be to speak to high school students or others who are entering the workforce for the first time, to explain taxes, pay stub and direct deposit concepts, etc). This effort may also be coordinated with the National Payroll Week Committee to concentrate these efforts during NPW.
  • Identify opportunities for the chapter to provide assistance to the local community through contributions or involvement in charitable events.

  • Toys for Tots

  • Non-perishable items for a local food bank, toiletry items for local shelters
  • Items for US troops
  • Member participation in Habitat for Humanity project
  • Volunteer to assist at local fund-raisers, festivals, etc.
  • Answer phones at local PBS television station auction
  • Submit Community Outreach ideas to the Executive Committee for approval.  Upon approval, work directly with the charitable organization to coordinate the project.
  • Communicate events to chapter members and solicit participation.
  • Upon completion of event, provide the Public Relations committee with a summary of the event, with photos when possible.
  • Submit articles/announcements to the Executive Committee for the chapter newsletter.

Education Committee - 2 year term

  • Organize and sponsor chapter CPP/FPC study groups to assist members in preparing for the fall and spring exams.
  • Work with the Community Outreach and NPW committees to develop opportunities to educate the general public on payroll related topics.
  • Work with local colleges to offer PPLS classes.
  • Solicit and nominate qualified members to serve as study group facilitators and instructors for PPLS and other APA offerings.
  • Communicate with and encourage chapter members who are taking the CPP/FPC exams and maintain contact with them to obtain a list of members who passed so appropriate CPP/FPC pins may be ordered for presentation at chapter meeting.
  • Develop chapter contests/drawings to award and distribute chapter education fund dollars to chapter members.
  • Submit articles/announcements to the Executive Committee for the chapter newsletter.

Government Liaison/Government Committee - 2 year term

  • Communicate to chapter members any new legislative and regulatory changes and news, either through email, newsletter, or announcement at meetings.
  • Coordinate chapter activities regarding lobbying efforts and communicate with other PA chapter Government Liaison officers and APA Washington DC office staff to inform and direct chapter involvement in government relations efforts.
  • Work with the NPW committee to solicit and secure NPW proclamations from government agencies.
  • Submit articles/announcements to the Executive Committee for the chapter newsletter.

Hospitality Committee - 1 year term

  • Arrive at chapter meetings early, greet members at the door as they arrive and offer to assist with seating if needed.
  • Assist at the registration table if needed.
  • Communicate with the Vice President and Membership Committee. Chairperson to obtain list of individuals attending a chapter meeting for the first time. These individuals are referred to as “First Timers.”
  • Personally approach “First Timers” at the chapter meeting to recognize and welcome them to their first chapter meeting. Invite these individuals to sit at their table during the dinner meeting if possible, especially if the “First Timer” is attending alone. Encourage “First Timers” to join the chapter, if they haven’t already done so.
  • Provide the chapter President with a list of “First Timers” in attendance, so they may be recognized during the president’s announcements.
  • Within 5 days after the chapter meeting, send an email to the “First Timers” to again thank them for attending their first chapter meeting and invite them to join the chapter. If we don’t have an email address for the individual, this contact may be made either by phone or US Mail. If contact is made via email or US Mail, the standard document format and content should be reviewed and approved by the executive committee members.
  • Submit articles/announcements to the Executive Committee for the chapter newsletter.

Membership Committee - 2 year term

  • Be a reference or contact point for persons interested in joining the chapter.
  • Pursue opportunities to build chapter membership (through community contacts, APA national membership lists, rosters of attendees at local APA classes).
  • Work with the Public Relations Committee to maintain and update chapter membership flyers and brochures.
  • Maintain an up-to-date membership list and periodically solicit members to verify and update their contact information.
  • Submit articles/announcements to the Executive Committee for the chapter newsletter.

National Payroll Week Committee - 1 year term

  • Organize NPW chapter events and encourage members to participate in NPW activities in the workplace and community.
  • Work with Community Outreach Committee and Education Committee to coordinate activities during NPW and promote the chapter through community involvement.
  • One committee member should participate in the annual NPW conference call sponsored by APA national.
  • Communicate with chapter members to offer ideas on how to participate and promote NPW.
  • Work with webmaster to maintain and update NPW page on the chapter website.
  • Work with Executive Committee to complete National APA documents to participate in the NPW Chapter contest and photo contest.
  • Submit articles/announcements to the Executive Committee for the chapter newsletter.

Nominations and Elections Committee - 2 year term

  • Encourage members to nominate qualified chapter members for Executive/Board positions.
  • Prepare nomination form for distribution to chapter members at September chapter meeting.
  • Collect all nomination forms and contact all nominated members to verify their ability and willingness to be included on the ballot. Distribution should be in the form of an email prior to the September meeting to all members and hard copy to those in attendance at the September meeting.
  • Prepare ballot for distribution at December chapter meeting. Coordinate and make available email balloting for members who cannot attend the December meeting. Count both email and hard copy ballots by the end of the December chapter meeting and announce winners. A minimum of two persons must count and validate all votes.
  • In the event that a member of the Nominations/Elections Committee is nominated for an Executive Committee position, the current Executive Committee will appoint a qualified chapter member to serve as a committee replacement for that election.

Pennsylvania Payroll Person of the Year (PPPY) Committee - 1 year term

  • Encourage members to nominate qualified chapter members for the PA Payroll Person of the Year contest.

  • Select one person from the nominees submitted to be the chapters' official entry into the PPPY contest. Submit the chapters' nominee to the appropriate individual by the deadline.

  • Chairperson will serve as the chapter representative on the statewide PPPY committee.

  • Follow all PPPY rules and guidelines established for judging and submission of nominees.

  • Submit articles/announcements to the Executive Committee for the chapter newsletter.

Public Relations Committee - 1 year term

  • Work closely with the Community Outreach Committee to obtain information on chapter community outreach events.
  • Maintain contact with local newspapers and media to promote the chapter through news articles or public service announcements.
  • Create and maintain chapter photo archives and records of chapter events.
  • Monitor and develop material for chapter brochures, web site, and special events such as Statewide conferences.
  • Submit articles/announcements to the Executive Committee for the chapter newsletter.

Vendor Relations Committee - 2 year term

  • Communicate with vendors (primarily payroll related) in the local area to promote the chapter.  

  • Encourage vendors to become members of the chapter.

  • Work to obtain sponsorship for various chapter activities, including speakers, web site, door prizes, community outreach projects and National Payroll Week events.

  • Submit articles/announcements to the Executive Committee for the chapter newsletter.
